Privacy Policy — Katlin Robinson Yoga Therapy

Effective September 22, 2026

This policy explains what personal information I collect, why I collect it, and what I do with it. It covers this website, group classes, online courses and workshops, and private yoga therapy sessions.

What I collect and why

Katlin Robinson Yoga Therapy collects personal information so I can run this website, teach classes safely, and keep in touch with people who ask to hear from me. I collect only what I need, and I tell you why at the point I ask for it.

If you visit the website. My website provider records standard technical information such as your Internet Protocol address, browser type, the pages you visit and how long you stay. This is used to keep the site working and to understand which pages people read.

If you join a mailing list. Your name and email address, so I can send class news and offers. Every email has an unsubscribe link.

If you register for a class, course, workshop or private session. Your name, email address, phone number, the address you practise from, an emergency contact, and the health information on your intake form. Registration and payment go through my website provider. Health information is never collected at checkout: the intake form is sent to you separately, by email, for you to complete and return.

Payment. Payments are processed by my website provider and its payment processor. I see that a payment was made and for what, but I never see or store your full card number.

Your health information

This is the most sensitive information I hold, and it is treated that way.

What I collect. My intake form asks about health conditions, injuries, surgeries, pregnancy, medications, mental health, and anything else that affects how you move and breathe. It also asks for your phone number, the address you practise from, and an emergency contact. I send it to you by email after you register, and you complete it and return it to me. When a completed form reaches me, I print it, file it securely, and delete the email.

Why I collect it. So I can teach you safely, adapt practices to your body, and know what to watch for during class. Nothing more.

Who sees it. Only me. I do not share your intake information with other participants, other teachers, your employer, or anyone else, and I do not use it for marketing. I will share it outside those limits only with your permission, or where the law requires it.

Your emergency contact. If you have a medical emergency during a class, I may contact the person you named and give them what they need to help you. Please make sure that person knows you have listed them.

If you do not want to answer. You may leave any question blank. Some answers are necessary for me to teach you safely, and if I do not have them, I may not be able to accept your registration.

Who else handles your information

I use a small number of companies to run my business. They may handle your information only to do that work for me, and they may not use it for their own purposes.

Company

What it handles

Squarespace

Website hosting, class and course registration, and payment processing

Mailchimp

Mailing list and class emails

Zoom

Live online classes

These companies may store or process information outside Canada, including in the United States, where different privacy laws apply.

Classes on Zoom. Classes are live and are not recorded. Other participants can see and hear you during class. What is shared in class is confidential, and participants agree not to record or screenshot each other.

Cookies, analytics and advertising. My website uses cookies to keep the site working, remember your preferences, and understand how the site is used. I may also advertise through Google and Meta, which own Facebook and Instagram, and those platforms may use cookies to show my ads to people who have visited my site. You can refuse cookies in your browser settings, though parts of the site may not work as well. I never use your health information for advertising, and I never give your intake answers or mailing list to an advertising platform.

How long I keep it

I keep client records, including intake forms, for at least 10 years after your last class or session with me. If a client was under 18 at the time, I keep the records for at least 10 years after they turn 18. I keep them longer where the law requires it, or while a complaint, claim or insurance matter is unresolved.

Mailing list information is kept until you unsubscribe. Website technical information is kept for a shorter period, as set by my website provider.

Your choices and your rights

You can ask me to:

  • show you what personal information I hold about you

  • correct anything that is wrong or incomplete

  • stop sending you marketing email, at any time

  • withdraw your consent to my holding your information

Email me at iam@katlinrobinson.com and I will respond within 30 days. I may ask you to confirm who you are first.

If you withdraw consent while you are enrolled in a course, I will not be able to teach you safely and your registration will end. My cancellation terms apply. Even then, I keep your records for the period described above, because I may need them to answer a future complaint or claim.

If you are not satisfied with how I have handled your information, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Security, children and changes

How I protect your information. Paper and electronic records are kept secure, and only I have access to client files. No method of storage or transmission is completely secure, but I take reasonable steps to protect what you give me.

If something goes wrong. If your information is lost or accessed by someone who should not have it, and there is a real risk of significant harm to you, I will tell you and report it to the Office of the Privacy Commissioner of Canada, as the Personal Information Protection and Electronic Documents Act requires.

Children and young people. My group classes, online courses and workshops are for people 18 and older. I teach private clients under 18 only with the written consent of a parent or guardian, who completes a consent form and provides the health and emergency contact information I need. A parent or guardian may ask to see or correct their child's records at any time.

Changes to this policy. I may update this policy. The current version is always posted here with its effective date. If a change affects how I handle your health information, I will tell current clients by email.

Contact. Questions about this policy, or about the information I hold about you: Katlin Robinson, iam@katlinrobinson.com.
